MEMBERSHIP FEES
The U.S.S. Olympic requires no membership or registration fees. However, there will be a fund collected at every onsite meeting to help cover the cost for refreshments for the next meeting. Your donations to this fund are appreciated. Any money left over from one month will be rolled-over to the next month. The International Federation of Trekkers, which we are a chapter of, does collect a yearly membership due. There are three different levels that you may chose from, each with its own features and price. Members of the Senior Staff, however, are required to pay the Officer’s Fee option of $11. If you chose not to pay dues to the IFT, you may, but you still must register with them.

MEETINGS
U.S.S. Olympic meetings will be held every month on a given time, day, and location. Any disorderly conduct during these meetings may result in ejection from the meeting, which will be handled by the Security Chief. Meetings are not mandatory, but attendance may affect whether or not the meeting proceeds.
There are two types of meetings: onsite meetings and online meetings. Onsite meetings are meetings held in Indiana or Ohio that allow the crew to get together face to face and meet in a more intimate atmosphere. Online meetings are held in our Briefing Room on our chapter’s website and are for those people who are incapable of attending the onsite meetings.
Meetings are divided into several different sections: the general assembly meeting; the Senior Staff meeting; the Command Staff meeting; the department meetings; and the recreation. General assembly meetings are where discussions will take place about certain ship’s issues. The Senior Staff meeting is only for the Command Staff and the Department Heads. The Command Staff meeting and the department meetings occur at the same time. Recreation will be the serving of refreshments and when games and other forms of entertainment may take place.
All general assembly meetings, large and small, will abide by the same guidelines. During a meeting, be respectful of the views of others. Everyone is entitled to his or her own opinion.
Ranks are also a highly regarded part of meetings. They are to be recognized and respected. It is proper to address a fellow officer by their rank or rank and last name.

SHIP'S ACTIVITIES
From time to time, the Olympic staff may chose to have other ship’s functions separate from or in adjunct to a meeting. These activities may include parties, charities or volunteer services, or special ceremonies. Much like meetings, these activities are not mandatory to attend, but attendance may affect whether or not the activity proceeds. All ship’s functions, including meetings will a strict behavioral code, which includes a no drugs, no alcohol policy.

AGE RESTRICTIONS
The U.S.S. Olympic recognizes absolutely no minimum age for its members. Any members seventeen and younger will be placed on the Olympic as a Cadet. This is a position in which you are still in the Academy and are onboard a starship for training and experience reasons. Those members eighteen and older are able to be a crewmember onboard the Olympic as an enlisted officer or they can take a test to become a full officer.

PLACEMENT
Once your application for the U.S.S. Olympic is approved, you will be assigned a position in the department(s) in which you requested and you will be assigned quarters onboard the Olympic.

DISMEMBERSHIP
The Captain reserves the right to revoke membership from any applying member. After taking this action, he is then required to make a written explanation for why this action was taken. If the First Officer, Counselor, and Department Heads of the U.S.S. Olympic feel the explanation is not warranted, they may override his decision for dismembership.

VOTING GUIDELINES
At any given meeting, a vote may be taken to make a decision that involves something beyond the decision of the Command Staff or that needs the special attention of the crew. During these votes, final decision is reached based on a combined majority of that month's meeting locations. Therefore, the Captain, First Officer, and Department Heads become just like any other member. Absentee voting will not be permitted. Only members that are at those meetings may vote.

MISSIONS
Missions will involve scenarios that will be guided by officer’s logs and reports. Missions will consist of actions onboard the starship, Away Team missions, and other various endeavors. All missions will be guided by the rules of the Prime Directive and are under the discretion if the Command Staff.

LOGS
Logs come in several types onboard the U.S.S. Olympic. Personal Logs are optional and may be made by any member. Department Logs are required quarterly and are filed by the officer currently in charge of that department. Medical logs are used to describe a crewmember's physical condition when sick or injured and are filed by the Chief Medical Officer. The Captain's Log is required and is the leading log of the ship. It is filed by the Commanding Officer.

REPORTS
Reports (different from logs) are in the form of a sheet that each Department Head is required to file quarterly. These reports are to be handed in to the First Officer sometime during the final month of the quarter. Reports cover activities within the department, recommendations for promotion, and requests and comments.

UNIFORMS
If you chose to, you may purchase a Starfleet uniform for use at certain ship’s functions and conventions. We recommend that you purchase your uniform from the Internet at Warp One or the Star Trek Online store or you can purchase one from the Quark’s Bazaar catalog in the middle of every Star Trek Communicator magazine. We are currently using the uniforms with the gray shoulders and colored undershirts that were first featured in Star Trek: First Contact, but you may purchase any other uniforms you wish such as casual dress uniforms or formal dress tunics. Please remember, however, that a costume is not required to be a part of the starship Olympic.

MEMBERSHIP PACKET
Members of the U.S.S. Olympic will receive a membership packet at their first meeting. This packet will contain your Olympic Membership Card, Membership Certificate, Handbook, the Ship’s Constitution, and your first issue of the club newsletter, the Distress Call.

PROMOTIONS
Enlisted officers of the U.S.S. Olympic will receive a promotion for every three duties they perform or at the Captain's discretion. All full officers will receive a promotion when warranted by the U.S.S. Olympic Command Staff and Counselor. Promotions can be obtained by showing responsibility in completing tasks, attendance at meetings, and displaying outgoing effort to be an excellent officer.

DEPARTMENT EVALUATIONS
At the end of the second and fourth quarters, there will be a department evaluation between the five departments (excluding Command). The departments will be evaluated based on Department Head reports, special activities, and projects. The Captain, First Officer, and Counselor will make the evaluations and the top department will be published in the corresponding issue of the newsletter. The department with the highest score will receive special commendation.

THE DISTRESS CALL
There will be a club newsletter passed out every two months. The newsletter will be circulated in the months of February, April, June, August, October, and December. This is edited by the Chief of Communications and is open to any club or Star Trek related articles that you would like to have published.
